Cancellation Policy

Generally speaking students should give 24 hour notice or 6 hours (AREVA, Framatome, Orano, Aubert & Duval, ERAMET, ERM, John Deere and Deroma France Students).

All students on the AFS Portal now have a 12 hour Cancellation Policy as of September 2019.

The students ideally should cancel the class themselves on the system but they can also send you (the teacher) an email or contact Perrine in the office. Should the student contact you via email to cancel (outside of the notice period) it is then your responsibility to cancel the lesson yourself on the system or contact Admin to inform them to cancel the lesson.

Important note: Always remember to annotate your lesson report as a “late cancellation” otherwise our data will be flagged and suggest that the lesson was completed but no report was filled in!

There may be sensitive circumstances where a student has to cancel a lesson at short-notice, in such cases a teacher may decide to allow the lesson to be cancelled (or arrange a reschedule) so the lesson is not lost for the student. This is to the discretion of the teacher and is often done to maintain a good relationship with a student. Should a teacher due to unforeseen circumstances be unable to take a class they must contact Admin as soon as possible before the class takes place.

There are number of options which can then occur:

  • Ask Admin to transfer the class to another teacher.
  • Arrange a reschedule directly with the student especially if the teacher has a good student relationship (teacher is able to alter the data and time on Planyo).
  • Ask Admin to cancel the lesson so the student’s account is re-credited with the lesson and they can re-book at a day/time which is suitable for them.
  • A teacher may cancel the class themselves but Admin along with the student must be notified.

Teachers should be aware that although a teacher normally has to give 24 hours to cancel a lesson; however they can book a lesson on the system the day before for the following morning. For example, a student could book a lesson just before midnight for 8am the next morning.
